The client required improved project management effectiveness and cost control, making centralised portfolio management and the establishment of a PMO function essential. Operational cost optimisation became a key transformation objective, while intensified strategic initiatives required a shared direction and clearly defined priorities to support growth ambitions.
We conducted a detailed audit of the existing project and portfolio management framework and designed a bespoke, modern governance model. We temporarily managed the PMO while supporting the implementation of the new model and changing management. We played a key role in deploying a project portfolio management tool enabling effective management of resources, risks, benefits, changes, and constraints. We also designed and implemented a quarterly portfolio planning approach covering both waterfall and agile projects, delivering increased transparency, control, and effectiveness.
Following a merger, the client identified a critical need for professional portfolio management support, particularly to ensure timely delivery. A rapidly growing initiative backlog combined with limited team capacity impacted schedule and budget control.
Our PMO team designed the target IT portfolio management model and implemented an effective IT PPM methodology. We played a key role in implementing Jira and Confluence for portfolio and project management. The engagement also included organisational change management within IT, including training, workshops, and preparation of materials for Project Managers, facilitating smoother adoption.
Following the consulting phase, we continued the cooperation by managing projects as PMs and overseeing the IT project portfolio in line with established standards. We supported idea intake, decision-making forums, recurring status reporting and roadmap management, acting as an integrated compliance PMO. Our involvement significantly increased organisational maturity and operational effectiveness, resulting in over three years of continued collaboration.

Lack of a unified and standardised IT infrastructure hindered service management and vendor cooperation. The client required support in designing consistent processes and interfaces and in optimising internal IT structures.
We developed and implemented standardised, ITIL-based interfaces and processes across key IT service management areas, including vendor management, IT planning, incident management and service request management. Additionally, we supported interface analysis, project planning and executive-level workshops, thus enhancing the client’s ability to manage complex IT initiatives.
