The dedicated Taxolite e-Invoicing Tool allows for full and flexible adaptation to the upcoming changes without the need to adapt to ERP systems or billing systems, as well as without the need to change key processes, integrate already implemented and functioning in the enterprise systems.

The introduction of e-invoicing is a revolutionary and complex change for entrepreneurs. From January 2022, can voluntarily use structured invoices, from the beginning of 2023 the use will become obligatory. The key is to address early to the upcoming changes, as it will give more time to prepare for the implementation of appropriate solutions inside the organization and to protect against the business consequences of delays at the moment of introducing the obligatory nature of this model.

What will be the range of data reported in terms of e-Invoice?

The range of data reported under the new form of invoice includes many additional elements, other than in the standard invoice, such as:

  • In part, the scope coincides with the data included in JPK_FA(3) and in JPK_V7, however, there are significant differences, such as the way of presentation. Examples are the marking of GTU codes and some procedures at the invoice line level.
  • Detailed data of the terms of settlement and transaction – including INCOTERMS terms and conditions, type of the used transportation, carrier data, cargo information.
  • Information on excise duties.
  • Additional annotations regarding invoices, WZ numbers.
  • Payment data – including marker informing whether a given payment has been made, date of the payment, form of the payment, bank account number.
  • Data on the transport of goods covered by invoice - including carrier data, address of place of dispatch and destination, transport order number, date and time of the beginning and end of the transportation.

What functionalities does the e-Invoicing Tool offer?

Outgoing invoice module

  • creating structured invoices (xml) from data imported from multiple source systems
  • dedicated integration and logic
  • technical and logical data validation
  • e-mail notifications to contractors
  • automated sending of structured invoices to KSeF

Incoming invoice module

  • obtaining structured invoices on the purchases side from the KSeF
  • converting the format of the received structured purchase invoice into a readable for the ERP system format, circulation system

The application will be available in the following models:

e-invoicing tool

cloud (SaaS)

  • The application will be launched in a cloud provided by PwC
  • PwC provides all environmental and technical aspects, as well as is comprehensively responsible for the security of the solution and customer data.

  • Simpler cost structure - one fee for the application access and support services.

e-invoicing tool

on-premise 

  • The tool will be launched on the client’s server in the company’s computer network.
  • PwC provides the application, takes care of its security and updates.

  • The client will be responsible for infrastructure, network aspects, server security, licenses for additional software, such as database, access for PwC.

  • The costs will include the software license, the cost of the support service and own costs, such as the maintenance of servers.

In both options, we plan to provide the ability of integration with the client’s systems in order to load the data necessary to create xml or to provide the data back. Different methods of integration: ETL, API, SAP connector.

Technology - the key element in meeting new challenges

The technology will allow us to meet new obligations, optimize the process and prepare for changes in time.

Our Taxolite e-Invoicing Tool solution uses the Microsoft Azure technology, which provides easy availability of services for such critical business processes as invoicing or receiving already issued invoices.
